1. INTRODUCTION

Real Scan (“We”) were invited by the Agent and the Client (via the Agent) – both of whom agree to be jointly and severally liable hereon – to provide a cost estimate to carry out the services set out in our quote above.

Please Note: it is the joint and several responsibility of the Client and the Agent under the Health and Safety at Work Act 1974 to advise of any known hazards that could pose a danger to our staff within the specified work area.

2. COMPANY OVERVIEW

Real Scan is a provider of measured building and topographical surveys.

3. SCOPE OF SERVICE

1. Conduct a site visit during regular business hours or, if necessary, outside these hours (additional costs will apply for out-of-hours work).
2. Collect and record measurements and relevant data according to the scope defined in this proposal.
3. Deliver survey results in PDF and DWG formats as standard. Upon request, we can also provide 3D BIM output for an additional fee.
4. Ensure all drawings undergo a thorough quality control process to verify accuracy and completeness.
5. Supply deliverables in alignment with RICS standards.

4. QUALIFICATIONS

• Site Access: Full access to all areas of the site will be required for the survey to be completed in its entirety. If any areas are inaccessible, we will exclude them from the survey, and any necessary revisit may incur additional charges. The Client is responsible for ensuring that access arrangements are in place, and any obstruction or delay caused by lack of access may result in further costs.
• Ordnance Survey Mapping: Real Scan does not include Ordnance Survey (OS) mapping in its standard service. If the Client requires OS map data, this can be provided at an additional cost.
• Health and Safety Compliance: Our staff will not enter areas that are deemed hazardous, contain dangerous substances, or present health risks. If any such conditions are encountered during the survey, they will be reported immediately, and work will be halted until the issue is addressed by the Client.
• Work at Height: Our personnel will not undertake roof surveys unless safety barriers or guard rails (of at least 1.1m in height) are in place. If the roof lacks such safety measures, we will notify the Client and recommend the use of fall protection equipment at additional cost. The Client will have the option to proceed with the survey, or not at all, at the revised fee.
• Loft Spaces: Access to loft spaces will not be provided unless the space is fully boarded and free from any obstruction. If loft spaces are required for the survey, the Client is responsible for ensuring they meet these requirements.
• Surveying Conditions: The survey is based on standard site conditions, assuming there are no ongoing construction, demolition, or disruptive works. If any site restrictions such as scaffolding, boarding, or boarded-up windows are present, it may affect the accuracy of the survey data. The Client will be informed of any limitations that arise as a result of these conditions.
• General Exclusions: The survey will be non-intrusive and will not include activities such as underground service tracing, detailed tree identification, or the examination of potentially dangerous substances. Survey data may be generalised or estimated where access is limited or if information is inaccessible.
• Special Requests: If the Client requests 3D survey outputs, it is important to note that certain objects or features (such as overhead cables, tree canopies, or building faces) may be assigned a value of -99 due to the method of data capture. Special requests for data beyond the scope of standard survey output may be subject to additional fees.

5. CONFIDENTIALITY

Real Scan acknowledges that all data collected during the survey is confidential. It will not be shared with third parties without prior written consent from the Client or the Agent, except when required by law.

6. PAYMENT TERMS 

• A non-refundable deposit of 30% of the quoted price must be paid to confirm the booking.
• The remaining balance is due within 14 days of the invoice date unless otherwise agreed.
• Invoices overdue by more than 14 days will incur a late payment fee of £40 and interest at 8% above the Bank of England’s base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
• Payments can be made via bank transfer. Real Scan does not accept cash or cheques.

7. CANCELLATIONS

Cancellations made more than 48 hours before the scheduled survey will be subject to a 15% administrative fee. Cancellations made within 48 hours of the scheduled time will result in the forfeiture of the deposit.

8. LIMITATION OF LIABILITY

Real Scan’s liability for loss or damage arising from its services is limited to the total amount paid under this agreement. We do not accept liability for indirect or consequential losses.

9. INTELLECTUAL PROPERTY

All intellectual property rights to the survey deliverables remain the property of Real Scan until full payment has been received. Upon receipt of payment, these rights are transferred to the Client.
